Document & RFP Management System for Workforce Solutions for North Central PA
A regional workforce development board needed a better way to manage a
growing library of policy documents and proposals than their outdated
WordPress setup allowed.
I built a custom system to organize, publish,
and track documents and RFPs in one place, replacing manual uploads
with a structure built around how their team actually works.
Workforce Solutions for North Central PA oversees workforce development programs and policy across a six-county region, which means managing a large and constantly growing library of policy documents, local plans, and requests for proposals (RFPs). Before this project, all of that lived on their WordPress website, a setup that made documents hard to track, difficult to update, and nearly impossible to organize into related sets.
I built a custom document management system that gives their team a dedicated way to organize and maintain this content.
Documents can be grouped into sets, sorted by name or position, and structured into a hierarchy with a main document and multiple sub-documents matching how their policies are actually organized rather than forcing everything into a flat list.
Each document can be reordered, published, or kept in draft, and supports attached videos where needed. The system also handles RFPs directly, including attached documents, calendar deadlines, and status tracking (active, published, unpublished), giving staff one place to manage the full lifecycle of a proposal instead of tracking it manually.
The result: a team that once struggled to keep policy documents organized and current now has a structured, purpose-built system for managing them, reducing the manual effort of tracking versions, sets, and deadlines across a large and growing document library.
